Using high speed scanning technology to identify private information in stored data files is the first step towards proactive information governance. Once private information is discovered, protective actions can be launched automatically to protect the file and minimize the threat of a data loss incident. Lost laptops and stolen desktop and servers are only part of the over all equation that can cost an organization millions in direct and indirect expenses. Computers are often discarded with their hard drives intact and removable media is commonly disposed of insecurely or misplaced altogether. The ability to automatically and continuously scan laptops, desktops and servers for files that contain personal or confidential information that once found can then be secured automatically by encrypting and moving it to a secure location or by deleting it. This effectively reduces the organizations risk of a data loss incident ever occurring.

   High Speed Scanning

The Data-At-Rest solutions offered by FiLink incorporate high speed scanning technology. Performing asymmetric simultaneous scans on machines by analyzing files for metadata and content in different steps, the scanning technology reaches maximum efficiency for finding PFI at rest in your network.


  Open file shares

Instead of having to open or define file shares on each machine, FiLink's Data-At-Rest solutions analyze the various computers via administrative shares. On defining a new system to scan, the system automatically adds all administrative shares to the nightly refresh process. This removes the need to define the filesystems on each workstation, server, or laptop. In addition, any file share can be added to the scan list as well as any filesystem mounted via a Samba file share.


  Indexing and incremental scans

Many Data-At-Rest products only scan single points in time with only the machines that are online at that point being scanned. FiLink's solution indexes and stores the information for maximum scanning and search capability. This enables institutions to perform ad-hoc searches for PFI. It also allows searches of machines that are no longer attached to the network.


  Continuous Scanning

Many Data-At-Rest products require high amounts of user interaction. FiLink's solutions automate this process. Automatic nightly refreshes of your laptops, workstations, and servers means that you always have the latest information on every machine on your network. In addition to nightly scans, continuous through-out the day scans can be enabled so that machines that are highly mobile on your network, such as laptops, can always be up to date.  

  Multiple criteria matching

GLBA, HIPAA, PCI, SB1386. Each of these privacy regulations and laws include different definitions of "private". The Data-At-Rest solution enables your institution to perform matches against multiple types of information. These matches by default are First And/Or Last Name with an Account Number, First And/Or Last Name with a Social Security Number, First And/Or Last Name with a Credit Card Number, and other matches such as Account Number with Social or Credit Card numbers. These criteria can be modified to allow other permeations and/or PFI matches such as Drivers License Number, Loan Number, and other items.

  Scheduled scans

The Data-At-Rest solution performs nightly scheduled scans of your network by default. These nightly scans are scheduled to start immediately after normal business hours for regular desktop and server machines. Laptops can be put into a logical grouping and will be scheduled for refresh during business hours when they are most likely to be active on the network. This enables maximum effectiveness in refreshing the content indexes as well as minimizing impact on daily business activities for your network overall.
